Incentive Travel & Destination

Incentive programs are not conferences in nicer weather. The people being photographed have earned the trip, the images are the proof that it happened, and the sponsoring company needs them to look like a reward rather than a work event. We have photographed incentive trips and destination programs at Four Seasons properties in Hawaii, Nevis and Costa Rica, at the Ritz-Carlton St. Thomas, at Hotel Xcaret in Mexico, at Peninsula Papagayo, and aboard a Carnival ship.

Where We Work

It may be easier to list the places we don't work. If you have an incentive travel or destination event event we've likely been where you're headed. if not, that's pretty common since destination programs rarely repeat the same property twice. We're happy to make your project destination our first time there.

We've had the pleasure of working with loyal clients at the Four Seasons Hualalai in Hawaii. Four Seasons Nevis. Four Seasons Costa Rica. Peninsula Papagayo. The Ritz-Carlton St. Thomas. Hotel Xcaret in Mexico and a Carnival ship for a destination mastermind...just to name a few.

Where are we off to next?

How We Capture A Destination Event

The thing that separates this from conference work is that there is no back of house. You are with the group for the whole program, at breakfast and on the excursion and at the farewell dinner. The photography has to feel like part of the trip rather than a crew following people around.

That changes the staffing and the approach. Smaller teams, longer days, and a lot of judgment about when to raise a camera and when not to. It also means we are frequently the ones who know where everybody is, which program directors come to rely on more than they expect.

Practically, we handle our own travel logistics, we arrive early enough to scout the property in the light you will actually be using it, and we plan around the program rather than asking the program to accommodate us.

What you receive. Destination program galleries follow our conference timeline of 10 to 14 business days. On-property selects during the trip, a slideshow that beautifully recaps that trip and a highlight set within 48 hours of the close are all possible and especially appreciated by winners and guests that have been looking forward to the trip they earned for a very long time.

Questions Planners Ask

Why not just hire a photographer local to the destination?

You can, and for a single evening it sometimes makes sense. For a multi-day incentive program it usually does not. A photographer who already knows your executives, your brand and how your company behaves will come back with images that look like your company, and will not spend the first day working out who matters. Travel expenses sit outside your custom proposal and are quoted separately, and clients consistently tell us the difference is small against what they get.

Can you photograph excursions and off-property activities?

Yes, and these are often the images the program is remembered by. Tell us the excursion schedule during planning, because some activities need equipment decisions made well in advance, particularly anything on or in the water.

Do you handle your own travel and logistics?

Yes. We book our own travel, arrive ahead of the group where the schedule allows, and scout the property before the program begins. You should not be managing your photographers alongside everything else you are managing.

Can we get images during the trip?

Yes, and on incentive programs we recommend it. On-property selects can go out while the program is running, and a highlight set can follow within 48 hours of the close. Attendees are most engaged while they are still there, and the sponsoring company usually wants something to share before everyone is back at their desks.

How many photographers travel with us?

Fewer than you would need for a conference. Most destination programs are well covered by one or two, because the group is smaller and together for most of the program. Larger programs with concurrent activities need more, and we will say so.

Will you photograph attendees' partners and families?

If the program includes them, yes. Incentive trips often do, and those images matter to the attendees more than the business ones do. It is worth telling us in advance so we plan the time for it.

Can you provide images we can use to promote next year's program?

Yes, and this is worth planning deliberately rather than hoping it falls out of the coverage. Property imagery, atmosphere and the moments that sell the trip are different shots from the ones that document it. Tell us during planning and we will build both into the shot list.
